Customer distances are looked up from their postcode. Without a key, distance is the straight line between the two postcodes × the road factor (an estimate). A free OpenRouteService key gives real driving distances. A Google Maps key is used first if both are set, and also gives the actual drive time — which makes the delivery cost estimate below more accurate than assuming one average speed for every trip, since it reflects the real road. Google Maps isn't free at any real volume, so restrict the key to your domain and keep an eye on billing. Keep in mind everyone signed in to this app can read what's saved here, so use keys that are only for this.

Customers further from the depot than this can't be booked for a delivery (collection is unaffected). Leave blank or 0 for no limit.

Estimate = (round-trip distance × fuel cost per mile) + (round-trip time × labour cost per hour), using each customer's distance from the depot and the assigned vehicle's fuel economy.

VAT is added to new orders only after you tick the box above; existing orders are never changed. Delivery charges take the VAT rate of the goods they're delivered with. Some agricultural goods are zero-rated — set each product's rate under Products, and check the rules with your accountant.

In EmailJS, create one template with {{to_email}} as the recipient and a body that prints {{{message}}} (triple braces, so the formatting isn't escaped) — the app fills in the subject and content for every message it sends.

Overdue reminders can only go out while someone with Payments access has the app open — there's no background server to send them while it's closed. Invoices are always sent manually, from the Send button on a delivery.

While this is on, anyone who can see Deliveries or Contracting will see an \u201cAvailable to claim\u201d list on My Deliveries / My Contracts for anything still unassigned, and can assign it to themselves with one tap. Once claimed, it moves into their own list and nobody else can claim the same one \u2014 that's enforced by the database itself, not just the screen, so two people tapping Claim on the same job at the same moment can't both get it.
